Know what every project costs, while it's being built.

Subcontractor invoices, quotes and plan revisions arrive from every side. Filetable reads the site code on each one, links it to its project — creating the project when it's new — and keeps every project's invoiced total and remaining budget current.

The challenge

The project is written differently on every invoice — a code, a site name, the client's name, or nothing at all.

Overruns show up at the end of the job, when someone finally adds up the invoices.

Plans come back revision after revision, from every engineer, and the old ones never go away.

How Filetable handles it

Costs per project, as the invoices arrive

  1. Receive

Subcontractors email their invoices to the workspace; delivery notes are photographed on site; plans are dropped in by the batch.

  2. Understand

Each invoice gives its supplier, amounts excluding VAT and the site it was issued for; each plan its number, discipline, revision and date.

  3. Connect

The project is matched by its code first, then by its name — and created when it's new. Rollups add up what's been quoted and invoiced on every project.

  4. Organize

Every project gets its folder, with its invoices, quotes and plans inside — named the same way.

  5. Act

A space compares each project's invoiced total with its budget and an alert warns you when one goes over; a project's invoices and quotes leave as Excel or CSV for the client's cost statement.

Frequently asked questions

What if a project doesn't exist yet?

It's created the first time a document mentions a project that matches none of yours, so the project list builds itself as invoices arrive.

Is there a template for architects?

Yes: the Architect industry template links every invoice and quote to its project, with the matching rules already written. The budget and the invoiced total are two columns you add from menus.

Does it handle plans and drawings?

Yes. Plans have their own table — drawing number, discipline, revision and status — extracted from each sheet.
